Pastoral Ministry Assistant
The Pastoral Ministry Assistant serves as an administrative assistant to the pastoral staff of the church and has the primary responsibility of assisting the pastoral team in fulfilling their duties. The Pastoral Ministry Assistant uses a Christian calling, personal gifts, and technical skills for the benefit of the church by contributing to the effectiveness of the pastoral team in ministering to the congregation and community.
As part of this role, the Pastoral Ministry Assistant also provides front-office and receptionist support, serving as a welcoming first point of contact for members, visitors, and guests.
The Pastoral Ministry Assistant works cooperatively with other ministry assistants, including cross-training where appropriate. Through both administrative and receptionist responsibilities, this position supports the work of the church as assigned by the Senior Pastor or Executive Pastor. The Pastoral Ministry Assistant must be a committed Christian and be prepared to pray with parishioners and other individuals on occasion.
The Pastoral Ministry Assistant reports to the Executive Pastor; however, members of the pastoral team may provide direction related to their specific ministry areas.
Specific duties include, but are not limited to, the following:
- Attend staff meetings, taking notes and keeping minutes as assigned.
- Maintain the church calendar adding all ministry events as discussed in staff or other meetings.
- Prepare, type, and mail pastoral correspondence on behalf of all pastors, including weekly visitor letters, sympathy letters, baby dedication and baptism correspondence, and other pastoral communications, ensuring timely and accurate follow-up with members and guests.
- Maintain deacon ministry records; prepare materials necessary for deacons’ meetings; and assist in communication between the pastoral staff, deacons, and/or Life Groups when special needs within the church membership become known.
- Assist in coordinating and managing schedules for the pastoral staff, including meetings, appointments, and events, while helping ensure clear communication with staff, members, and visitors. Assist in maintaining the church’s membership, prospect, and assimilation database (REALM), including receiving, processing, and distributing information generated through calls, visits, and pastoral contacts.
- Help prepare and coordinate appreciation dinners, luncheons, and fellowship events for various components of the church family, including new member fellowships, deacon and widow banquets, and staff luncheons.
- Serve as a primary point of contact for the church office by answering incoming telephone calls, greeting and assisting walk-in visitors, responding to general inquiries, directing individuals to appropriate pastors or ministries, and receiving and distributing messages, mail, and deliveries in a timely manner.
